How to avoid logging in repeatedly when retrieving documents

As we place more and more information on the AVRSBLearningPortal webpage the number of staff, teachers, and administrators accessing the site is on the increase. Many of our users are accessing documents that have been placed on the site and the feedback we have been getting is positive.

While we are pleased with the strong security of Sharepoint, the program this site runs on, it does have one particularly annoying feature - which users around the world experience. That is the fact that when opening a document, after you have already logged in, some users are prompted to log in again (if this doesn't happen to you there is no need to read on). It isn't that big of a deal when you are only accessing one document, however if you hare accessing many documents it becomes particularly annoying :-)

Here are two possible ways to resolve the issue, and stop the ‘prompt for login’ every time you open a document locally from sharepoint. They are listed here in no particular order however we have found the first option to be particularly effective :-)

Option 1:

  1. Open Internet Explorer (now this will vary slightly from IE 6 to 7, I will be using IE 7 as my example).
  2. Click on Tools, which gives you a drop down, and then scroll to the bottom and select ‘Internet Options’
  3. In the Internet Options window that appears, select the Security Tab.
  4. On this tab, select the Local Intranet icon near the top.
  5. Click the Sites button which is right beneath the icons window.
  6. In the sites pop-up, select the Advanced button.
  7. This will prompt you to add a site to your Intranet zone. In this top box, put in: http://avrsblearningportal.ca and click ADD
  8. Click OK a few times to close out all the windows.

Now you should be able to close out of IE, and then re-open it and test the process of opening a document from Sharepoint. If it works, fantastic! If not, lets move on to option number 2

Option 2:
(This next option assumes the user is running Windows XP)

  1. Open your Control Panel
  2. Double click on User Accounts
  3. Go to the Advanced Tab
  4. Click on Manage Passwords
  5. Click the Add button
  6. Enter the name for our website ( http://avrsblearningportal.ca)
  7. For the username use DOMAIN\username (i.e "avrsblearningportal.ca/username" - where username is your login name)
